The 2020 release of Sage 100cloud provides users with many new features, so we’ve put together a blog highlighting the most important ones to help you get up to speed quickly. We’ll also include links to documents with complete details if you want a comprehensive view of the entire 2020 release, including information on features available to both Sage 100 and Sage 100cloud users. Let’s get started and take a look at the most exciting additions to Sage 100cloud!
Reverse an entire Accounts Payable check run
Have you ever processed an entire check run with the wrong information? This new feature is a huge time-saver! It gives Sage 100cloud users the ability to reverse an entire check run rather than having to manually reverse each check individually. A new Accounts Payable utility reverses checks or electronic payments created using the Check Printing and Electronic Payment Menu. Users can select the run to reverse either by bank code and check number or by source journal and register number. If multiple check runs are found, you’ll be able to select the one you want to reverse, and the individual checks will be listed for your review.
Expanded name fields (No more abbreviations!)
If you’ve ever been faced with trying to squeeze a name into a field that was too short, this enhancement is for you. The following name fields have been expanded to 50 characters so you will no longer need to abbreviate names:
- Customer name
- Customer contact name
- Vendor contact name
- Confirm to name
- Requested by name
Encrypt personally identifiable information in compliance with the California Consumer Privacy Act (CCPA)
The CCPA grants California residents new rights regarding their personal information and imposes various data protection duties on entities conducting business in CA. The CCPA grants California residents the right to:
- Request information about a business’ collection, sale, and/or disclosure of the consumer’s personal information.
- Access personal information collected
- Deletion of the consumer’s personal information
- Opt out of the sale of the consumer’s personal information
The CCPA is effective January 1, 2020 and includes a 12 month look back period. In response, Sage 100cloud has added various components to preserve the financial integrity of the Sage 100cloud database. You will find the components to comply with the CCPA in various tasks in Sage 100cloud, including Customer Maintenance and Vendor Maintenance, where a new button is available to provide you with the ability to encrypt personally identifiable information (PII) for an inactive customer or an inactive vendor, respectively. Utilities have also been added to accomplish the encryption even if the customer or vendor record has already been deleted from Customer Maintenance or Vendor Maintenance. Encrypted PII no longer appears in task windows or reports and cannot be viewed in Data File Display and Maintenance of accessed through Visual Integrator or external reporting using ODBC.
Receive or invoice multiple POs on one receipt or one invoice
Do you ever issue multiple purchase orders to a vendor, and the goods all arrive at the same time? You can combine them into a single receipt or a single invoice to simplify processing. This will give you the ability to apply multiple purchase orders to one receipt or invoice for the same vendor.
Add expiration dates for lot and serial items
If you have lot or serial items and you would like to track expiration states, you’ll definitely want to enable this enhancement. You can manually enter expiration dates for lots and serial items or you can specify how they are automatically calculated. You can also calculate sell by / use by dates by adding or subtracting a specified number of days, months, and years. Sage 100cloud provides lots of options for this feature so you can set it up just the way you need it to work, and really control those items and inventory to make sure you are paying attention to expiration dates.
Use eInvoicing for A/R, S/O, and J/C Invoices
Do you wish your customers paid you faster? This enhancement gives your customers the ability to pay invoices processed in Sage 100cloud through a new Paya Connect payment portal. You can enable eInvoice payments in Company Maintenance. Activating these payment features built into Sage 100cloud along with the Paya connected payment solution provides real-time cash flow visibility, speeds remit times, and simplifies your back office. You can email invoice details including a ‘click to pay’ link, you can accept payment cards or ACH transactions, and you can combine multiple invoice amounts in a single transaction from the consumer portal. This feature uses a Paya merchant processor account and allows you to import payments into cash receipts with a single click.
